Many foreign trade salespeople spend a lot of time studying templates and learning email-writing techniques when they first start sending cold emails. However, after sending more and more emails, they often find that their response rates keep declining.
The reason is usually not a lack of outreach, but rather falling into several common misconceptions.
If you don't break out of these traps, sending more emails may simply result in more bounces, more silence, and fewer opportunities.

Mistake #1: Treating Basic Requirements as Competitive Advantages
This is one of the most common mistakes.
Many salespeople like to highlight certifications or compliance standards as the core selling points in their cold emails, such as:
• ASTM Certification
• CE Certification
• FDA Certification
• ISO Certification
The problem is that, for most target markets, these are simply entry requirements rather than competitive advantages.
Take ASTM as an example. It is a standard that products must meet to enter the U.S. market. If a product doesn't comply with ASTM requirements, it may not even be legally or commercially viable in that market.
In other words, buyers won't choose you because you meet the standard, but they may reject you if you don't.
Therefore, certifications can be mentioned as part of your company introduction, but they should not be the main selling point.
What buyers really care about is:
• What problems can you solve for them?
• What value can you create?
• Why should they buy from you instead of your competitors?
For example:
❌ Our products comply with ASTM standards.
✅ We helped our distributors reduce customer complaints by 30% through a more durable material solution.
Mistake #2: Ignoring the KISS Principle
The KISS Principle (Keep It Short and Simple) is one of the most important rules in cold email writing.
Buyers receive countless sales emails every day.
Many emails are not read from start to finish. Instead, recipients decide within a few seconds whether to continue reading or close the email.
A longer email does not necessarily mean a better email.
At the same time, don't go to the opposite extreme:
❌ Best quality.
❌ Competitive price.
❌ Good service.
❌ Professional team.
These phrases appear in almost every sales email, and buyers have become immune to them.
What works better is being specific, clear, and measurable.
For example:
✅ MOQ starts from 500 pcs.
✅ Samples can be shipped within 48 hours.
✅ Average production lead time is 15 days.
Buyers are much more likely to remember concrete numbers than vague adjectives.
Mistake #3: Talking About Advantages Without Providing Proof
For example:
❌ We provide the quickest delivery to serve you better.
How fast is "the quickest delivery"?
The buyer has no way to judge.
Compare it with:
✅ Standard orders can be delivered within 7 days.
✅ Samples are ready within 48 hours.
The credibility immediately increases.
One important principle of cold email writing is:
• Use fewer adjectives and more facts.
• Facts are always more persuasive than self-praise.
Mistake #4: Not Knowing What Result You Want from the Email
Many salespeople write whatever comes to mind when sending cold emails.
As a result, after reading the email, the buyer has no idea what to do next.
Before writing a cold email, answer these four questions:
• Why am I sending this email?
• What message do I want to deliver?
• What do I want the buyer to know?
• What action do I want the buyer to take next?
Once the objective is clear, you can start writing.
When addressing buyers, use greetings such as:
• Hi XXX,
• Hello XXX,
Avoid overly formal greetings like "Dear XXX," which can sometimes feel distant in modern business communication.
You can begin with a sentence that helps build rapport, such as:
• It was a pleasure meeting you at the XXX Fair in (City/Country).
• Noticed that you're currently sourcing (product).
This creates a more natural connection before moving into the main message.
Finally, include a clear call-to-action (CTA) so the buyer knows exactly what to do next.
Common CTAs include:
• Would you like to receive our product catalog?
• Would you be available for a brief call?
• Would you like a sample for evaluation?
• Would you like a detailed quotation?
Without a clear CTA, buyers may simply finish reading the email and move on without taking any action.
